For me, location scouting isn't about presenting you with as many wedding venues as possible. I want to specifically find the places that actually suit you based on your personal wishes and criteria.

The setting for your big day should fit you like a glove, be authentic and have the exact qualifications that are important to you.

Instead of making you sift through a large number of random locations, I carry out a targeted pre-selection during the research phase. As a result, you only receive suggestions that are genuinely relevant to your further decision.

The detailed initial consultation: The basis for the location search

Before I begin the actual search, we will have a detailed initial consultation.

In this exchange we will discuss in a structured manner all the points about your dream location that are important to you. I will ask you various questions, and we will go through your criteria, wishes and ideas step by step.

For example, the following points may play a role:

• Number of guests: How many people would you like to invite to your wedding?
• Style and atmosphere: Should the venue feel more modern, elegant, natural, rustic or something completely different?
• Decoration and floristry: Have you already got any ideas as to how your wedding should be organised? Also the Wedding decoration and floral arrangements should match the venue and be able to be implemented there just as you imagine them for your wedding day.
• Type of ceremony: Are you planning a humanist, civil or religious ceremony, and should this take place directly at the venue?
• Ceremony and reception in one place: Would you like to spend the entire wedding day at one venue, or are you planning on different locations?
• Indoor and outdoor areas: Would you like a garden, a terrace, or other outdoor spaces in addition to the indoor areas?
• Accommodation: Is it important to you that you or your guests can stay overnight on site or nearby?
• Location and accessibility: In which region should the venue be located and how important is good accessibility for your guests?
• Venue services: Which services should already be offered or included?
• Budget: What is the budget range for the venue?
• The schedule for your wedding day: Which agenda items would you like to implement at the venue and what spatial requirements do you need for them?

Those are just a few of the criteria that can play a role when choosing a wedding venue. As you can see, the decision involves many individual points that have to fit together in the end.

Following our detailed initial chat, I know your wishes and can dive straight into the research. The idea isn't to pull together as many venues as possible, but to filter out precisely those from the various options that match your previously defined criteria.

When searching, you also benefit from my existing repertoire of locations. This includes special and unique locations that cannot necessarily be found on Google. Through my work as a wedding planner, I am not only familiar with wedding venues in Germany, but also special locations beyond Germany.

Especially with more unusual locations, you will sometimes only find a basic overview online. Much of the information relevant to actually planning a wedding is not necessarily immediately apparent on a website. Because of my experience, my repertoire of locations and my network, I can therefore go beyond pure online research and look at venues from the perspective of the entire wedding planning process.

In addition, I have my own network within the wedding industry. Through collaborating with venues and various service providers, I am familiar not only with different locations, but also with the processes and structures that play a role around a wedding. Depending on the venue, existing contacts and experience with service providers who work there or know the local conditions may also already be in place.

My professional location scouting also includes the Availability check. After all, it is not enough for a venue to generally match your ideas – it also has to be available for your wedding date. That is why checking availability is an integral part of my venue scouting.

Another important point is the services offered by the respective venue. When booking a venue, there are several aspects that I know from my experience as a wedding planner and which I keep in mind for you. The cost factor is also particularly important here.

A venue might look perfect at first glance. Nevertheless, it should be closely examined, which services are offered, what is already included and what further costs may arise in connection with the location. Precisely such points also factor into my assessment.

Why experience matters when choosing a venue

When assessing a wedding venue, it isn't only about how pretty it looks in pictures. What is also crucial is, how a wedding day can be implemented there in practice.

Working at various weddings gradually builds an increasingly precise understanding of a venue's procedures, chronological relationships and potential challenges. I already bring this knowledge into the selection process.

To a professional wedding planning it is important to think in different scenarios.

• What happens when it rains?
• How does a potential relocation work?
• When should service providers arrive?
• How much time is required for setup, styling or the ceremony?
• Do the conditions of the venue actually suit the planned schedule of the wedding day?

Precisely questions like this show why choosing a venue should not be based solely on pictures or a website.

Through my previous weddings I know various locations, work with different service providers and know from practical experience, which processes are working well and in which areas a closer look should be taken.

My network and experience therefore also help me to better evaluate information relating to a venue. While the internet often only shows the basic features of a location, details that only emerge from experience with weddings and procedures on site are often important for planning.

From research to venue presentation

The wedding venue is one of the things that you you should decide relatively early in your wedding planning. As a rough guide, it is recommended to about 12 to 18 months before the wedding to start searching for or booking your venue. Because once your venue is decided, the framework for many other planning steps is usually set too.

This becomes especially important if you already have a specific Preferred date you have in mind. The longer the venue search drags on, the greater the time pressure can become – because, naturally, other couples are also looking for suitable dates. Particularly with in-demand venues or popular wedding dates, this can mean the selection gets smaller over time.

For my individual location scouting I need on average two to four weeks. The exact timeframe depends, amongst other things, on how far away your wedding date is, what your preferences are for your venue and how much time we have available for the search.

Who even a Find wedding venue wishes, quickly underestimates how much work actually goes into the research. It consists of significantly more than just a few hours of Google searching. First of all, you have to find suitable locations and filter out which of them could generally fit your ideas.

Only then does the actual research often begin. You won't find all relevant information directly on the website for every location. In some cases, you first need to get in touch to receive further information, price lists or a venue brochure. You submit an enquiry, wait for a response and can only deal with the additional information after that.

Then the actual comparison begins: What services are offered? What general conditions apply? What costs are involved? Does the location really fit your criteria? And even if everything looks right at first glance, it still has to be clarified, whether your desired wedding date is even available at all.

For multiple locations, this process repeats over and over again:

• research suitable venues,
• Check websites and initial information,
• request missing documents and information,
• waiting for feedback from the venues,
• go through brochures, price lists and further information,
• Compare services, conditions and costs,
• Check availability,
• filter out unsuitable venues and
• make a sensible selection from the remaining options.

Precisely because the venue forms such an important foundation for the rest of the wedding planning, a lengthy search can quickly generate additional pressure. Exactly this time-consuming preliminary work is what I take care of for you as part of my location scouting.

While I do the research, make enquiries, gather information, compare and pre-sort, you don't have to work your way through numerous individual locations yourselves. I will send these to you by email first. Afterwards, we will go go through all selected locations together in a face-to-face conversation.

You can ask any remaining questions, get advice on the various options, and then take some time to let your impressions sink in.

Especially during a viewing, a completely different picture often emerges compared to researching on a screen. On site, conditions can become apparent that are barely recognisable in photos or on a website. Thanks to my experience, I can therefore also assess the location look at it from a planning perspective and pay attention to points that could become relevant for your actual wedding day.

It is also worth taking a closer look at the services and costs. In a direct conversation with the venue's contacts, I can ask targeted questions, which services are actually included and where additional costs might arise. Costs like these are not always immediately obvious during the initial research and can make a big difference to your wedding budget.

Moreover, through my experience I know, what questions should be asked during a viewing and where it is worth probing deeper. That way, potential challenges and extra costs can become apparent early on, before you make a final decision on a venue.
